Scheduling, groups and assessments

Connect the roster, scheduled activity, attendance and defined measurements.

What the institution can coordinate

Rafik’s calendar supports training and assessor-led performance assessments. An event connects its timing, designated staff, selected athletes and recorded outcomes. Reusable groups and assessment templates give staff a starting point for repeated work.

The benefit is being able to answer operational questions from the event record: who was scheduled, who was responsible, who attended and what was actually measured. A booking alone does not establish that a session happened.

Prepare a group and a test definition

An administrator can maintain training groups and add active coaches. A trainer’s group membership actions remain limited to their own permitted groups and assigned athletes. Review membership before scheduling: a reusable group is a planning aid, not a reason to skip the selected participant list.

For assessments, choose a definition with explicit result types and units. The recorded result is interpreted against that definition and its revision. If the test definition changes, do not silently compare the new measurement with an old, differently defined test. Sport-specific field content still requires coach review.

Browse events and assessments

Updated web/backend versions provide Events & assessments for institution staff. Browse scheduled training and assessments across dates without selecting an athlete; search titles, filter activity type/status and page through results. Open an event for its attendance, results and correction history. Coaches see events where they are designated staff. Session history separately contains athletes’ recorded workouts.

Schedule and review the event

  1. Choose the training or assessment event, named staff and intended participants.
  2. Set local time and review the preloaded IANA timezone (profile preference, then device timezone). Verify the actual scheduled dates, especially around timezone changes. In updated versions, Create a template opens another tab while preserving the event draft; saving a template returns its selection to the matching open draft where supported. Use Refresh if needed.
  3. If using recurrence, review the proposed occurrences before confirming. Supported changes include one-occurrence rescheduling, cancellation and authorised staff replacement.
  4. Recheck the final roster and designated staff in event details. A coach sees events within their authorised staffing/athlete scope; an athlete’s view does not expose other athletes’ records.

Current contracts create a bounded series with a fixed selected participant list. Do not assume later edits to a reusable group automatically rewrite already created events. Consult API guidance before building an integration around scheduling.

Record what happened

Record each participant’s actual attendance and any supported check-in information. Check-in timestamps describe recorded events; they are not biometric proof of arrival. Notes shown to an athlete should be written with that visibility in mind and must not become a place for diagnoses or private clinical details.

For an assessment, record results against the chosen definition and complete the event through its workflow. Use the authorised correction path for mistakes. Result/attendance correction history makes it possible to distinguish a revised record from an originally entered value; do not treat a corrected report as an immutable historical snapshot.

Review results responsibly

Assessment history permits comparisons of results using the same definition and revision. An absent or excused participant remains part of attendance history but is not a measured point on a performance line. Missing results are unknown, not zero.

Staff can use this to review participation and the actual recorded measurements across an agreed period. It does not establish injury risk, clinical fitness, coaching quality or a causal training benefit.

Example evaluation

Using synthetic records, schedule a small group assessment, record one present and one absent athlete, enter only the present athlete’s result, then correct an entry. Verify the athlete can see their own relevant history and cannot read another participant’s record.

There are no current session packages, commercial allowances or automatic no-show deductions. Native Android field capture is planned, and external reminder delivery is not confirmed. Continue with analytics to interpret the resulting records.
